Drone Inspection Documentation Requirements

A documentation-first look at drone inspection work — what to keep on file per mission and how to structure deliverables clients accept the first time.

Drone inspection work lives or dies by the paperwork. Regulators, clients, and insurers all evaluate an operation on the records it produces. The good news: the documentation stack for inspection work is well understood. The better news: a repeatable structure removes the friction almost entirely.

Operator-level documentation

Start with the standing records that apply to every mission: pilot certificates, recurrent training, insurance, safety management summary, and standard operating procedures for the inspection types you offer. These do not change per mission and should live in a single shared folder that any pilot or account manager can point a client to on request.

Aircraft and payload documentation

For each airframe, keep the registration document, Remote ID compliance record (U.S.) or RPAS Safety Assurance (Canada), maintenance log, and battery cycle log. For each payload, keep the manufacturer specifications, calibration procedure, and — for thermal payloads — a record of the most recent reference calibration. Inspection deliverables that rely on radiometric data are only defensible when the calibration story is clean.

Mission records

Pre-flight

Airspace check, weather, site survey summary, authorizations, and crew roster. If a client-specific safety plan applies, note it here.

Flight execution

Flight log with pilot, aircraft, take-off and landing times, planned altitudes, and any deviations. For automated missions, retain the mission file so a repeat capture can be flown against the same parameters weeks later.

Post-flight

Imagery inventory, storage location, deliverable checklist, and — where applicable — the incident report. Note any conditions that could affect the analysis: cloud cover for photogrammetry, ambient temperature for thermal, wind for structural imagery.

Deliverable specifications

Every recurring client should have a documented deliverable specification: file formats, naming conventions, storage location, and turnaround expectations. Codifying the spec once turns hand-off from a series of emails into a checklist item. When a new pilot or analyst joins the team, the spec is what onboards them faster than a two-hour meeting.

Retention

Retention periods vary by client, industry, and jurisdiction. A three-year floor for mission records, five years for imagery on infrastructure and insurance jobs, and longer where client contracts specify. Whatever the number, document it in the SOP and follow it — inconsistent retention is worse than a shorter retention window applied consistently.
